Admin: Manage access

This article explains how Admins can assign and manage access to Evo features for individual users or groups, including recommended access levels for staff, volunteers, managers, and trustees.

Managing feature access in Access Evo ensures your team members can use the Charity Suite tools they need for their roles.

Give your team access to admin features

When a feature is switched on for your charity, access is enabled for Admins and Super Admins only. Your wider team, including staff, volunteers, and trustees, will not automatically be able to see or use its features.

As an Admin, you can view and manage Evo Features directly from the Members menu, either one member at a time or in bulk.

⚠️ Important: These features are switched on for Admins and Super Admins only. It is down to you to switch on access for your other users. Until this is done, your team will not see these features and will not benefit from them.

Manage access for an individual member

  1. Click the Members icon, then search for the relevant member.

  2. Click the three-dot menu icon next to their name.

  3. In the Manage Features list, select the relevant role for the feature you want to switch on, such as:

    • Engage

    • Collaborate

    • Applause

    • Analytics

    • Learning

  4. Click Save, then confirm the changes.

Manage access for multiple members at once

  1. Click the Members icon.

  2. Search for the members whose roles you'd like to update, or filter by tag to update all staff in a specific location.

  3. Select the checkbox for each member.

  4. To select a range, click the first member, then hold shift and click the last.

  5. Click Add in the Actions panel on the right, then click Assign Feature.

  6. Select the relevant feature from the drop-down, then select the relevant role.

  7. Click Assign.

  8. While your group is still selected, repeat these steps to make further changes in one go.

  9. Click Apply at the bottom of the Actions panel, then Confirm.

  10. Click Close.


Features you can assign

Engage

Assign to staff, volunteers, and trustees who need access to the shared social feed, communities, and announcements.

Collaborate

Assign to anyone who needs to access, upload, or manage documents and tasks within your charity's document sites.

Applause

Assign to staff and volunteers so they can send and receive recognition. Works best when everyone has access.

Analytics

Assign to managers, finance leads, and trustees who need access to dashboards and reports.

Learning

Assign to staff and volunteers who need to complete or manage training courses and compliance records.

Learning Bookboon

Assign to staff and volunteers who should have access to the professional development library.

🤓 Tip: Review access regularly, especially when new staff or volunteers join, so no one misses out on the features available to them. Bulk assignment is the fastest way to onboard a new cohort.
